Event Planner/Project Manager for Florida SEE’s Annual Meeting & Conference

This is a volunteer opportunity. Record Of Volunteer Service will be provided upon completion.

The Florida SEE Annual Meeting & Conference is a professional development and networking opportunity for ecotour providers and others interested in ecotourism. This event also includes our annual membership meeting with Board elections.

The Event Planner/Project Manager will create, organize, and supervise every element of Florida SEE’s Annual Meeting and Conference, to be held in Sarasota FL, Thursday May 19th through Sunday May 22nd, 2016.

The Event Planner/Project Manager will report to one or more members of the Florida SEE Board of Directors; copy these Board members on all correspondence; and prepare and deliver weekly progress reports to these Board members.


Qualifications:
Ability to plan and execute the following elements of our Annual Meeting:

Elements to be created, organized and supervised will include:

• Other volunteers – recruit, assign tasks, and supervise execution. Tasks may include any of the elements listed below
• Budget – create, present to Board for approval, manage expenses
• Communication Plan – registration forms (our website offers an event registration feature), email blasts (website feature), web content, press releases, social media reminders
• Board Nominations – engage Nominating Committee to ensure deadlines for interviewing and presenting slate to Board and Membership are met and communicated accordingly
• Meeting venue – conference room, space for exhibits/tabling
• Exhibitors – engage businesses, chambers, visitor’s bureaus etc. who wish to exhibit at our Annual Meeting in exchange for sponsorship.
• Accommodations - traditional hotel rooms plus camping nearby
• Catering – welcome reception, Certified Provider’s Luncheon
• Keynote speaker – industry expert
• Seminar speakers – expertise in any subject that contributes to the professional development of ecotour providers (local history/culture, environmental education, running-a-small-business topics, etc.)
• Field Trips – Where possible, engage only Florida SEE Certified ecotour providers to lead local expeditions (hiking, paddling, natural/cultural history tour, etc.)
• Fundraising – Pre-meeting, this can mean soliciting sponsors for various Annual Meeting activities. For during the meeting, this means arrange a 50/50 raffle, solicit silent auction items from membership, etc.
